Multifamily Residential Property

Position Overview

The Maintenance Supervisor is responsible for overseeing all maintenance operations, repairs, and physical asset management for a multifamily residential community. This role ensures that the property is maintained to the highest standards of safety, cleanliness, functionality, and curb appeal. The Maintenance Supervisor leads the maintenance team, manages vendor relationships, coordinates make-ready operations, and ensures efficient resolution of service requests to support resident satisfaction and the overall performance of the community.

Key Responsibilities

Leadership & Team Management

  • Supervise, train, schedule, and evaluate all maintenance technicians and porters/groundskeepers.
  • Ensure the maintenance team follows all company policies, procedures, and safety standards.
  • Assign daily tasks, monitor work completion, and provide coaching to improve performance.
  • Maintain accurate timekeeping records for maintenance staff and ensure compliance with payroll guidelines.
  • Use sound judgment when making operational decisions and communicate regularly with the Community Manager regarding team performance, challenges, and maintenance needs.

Maintenance Operations

  • Oversee all repairs, inspections, and maintenance work to ensure high-quality workmanship.
  • Complete service requests promptly, professionally, and in accordance with company standards.
  • Ensure emergency maintenance requests are handled on a 24/7 rotating on-call schedule.
  • Maintain inventories of tools, equipment, and supplies, and track usage regularly.
  • Ensure all maintenance shop, storage rooms, and mechanical areas are clean, organized, and secured.

Make-Ready & Turn Management

  • Manage the full unit turn process, including inspections, vendor coordination, repairs, painting, cleaning, and quality checks.
  • Ensure make-readies are completed on schedule to support leasing goals and minimize vacancy loss.
  • Conduct move-out inspections and document damages for chargeback processing.
  • Meet established turn-time standards as defined by company policy.

Safety, Compliance & Risk Management

  • Ensure full compliance with OSHA, EPA, Fair Housing, ADA, and all applicable building codes and regulations.
  • Implement and enforce safety protocols, including PPE usage, lockout/tagout procedures, and equipment training.
  • Conduct regular safety inspections of buildings, common areas, and equipment.
  • Identify and report potential hazards, security issues, or maintenance risks to the Community Manager immediately.
  • Maintain proper documentation for incidents, safety events, and preventive maintenance tasks.

Preventive Maintenance 

  • Develop and manage a preventive maintenance program for HVAC systems, plumbing, electrical components, appliances, and building structures.
  • Maintain accurate logs for all preventive maintenance activities and equipment servicing.
  • Schedule seasonal property preparation, including HVAC checks, winterization, and pool readiness (if applicable).

Vendor & Contract Management

  • Obtain bids, coordinate vendor services, and supervise outside contractors to ensure high-quality work.
  • Verify completion of contracted work before approving invoices.
  • Ensure vendors meet insurance, licensing, and safety requirements.
  • Monitor vendor performance and communicate issues to the Community Manager.

Inventory & Budget Management

  Maintain proper inventory of parts, tools, supplies, and equipment.

 Track expenditures and ensure purchases align with the approved maintenance budget.

  Prevent loss by properly securing tools, equipment, and materials.

  Recommend capital improvements, replacements, or upgrades as needed.

Professionalism in Difficult Situations

  • Handle resident interactions with professionalism, courtesy, and respect, even in challenging situations.
  • Communicate clearly and calmly when explaining repairs, timelines, or issues to residents.
  • Exercise strong judgment and coordinate with the Community Manager when addressing escalated maintenance concerns. 

Qualifications

  • High school diploma or equivalent required; technical certifications preferred.
  • 3–5 years of maintenance experience in multifamily, commercial, or residential property management.
  •   Previous supervisory or lead technician experience strongly preferred.
  • Strong knowledge of HVAC, plumbing, electrical, carpentry, and appliance repair.
  • HVAC certification strongly preferred (EPA Type I/II or Universal).
  • Ability to operate maintenance tools, equipment, and machinery safely and effectively.
  • Strong problem-solving, communication, and organizational skills.
  • Ability to handle multiple tasks and work in a fast-paced environment.
  • Knowledge of Fair Housing regulations as they apply to maintenance interactions.

Physical Requirements 

  • Ability to lift up to 100 pounds.
  • Ability to walk the property, climb ladders, work on roofs, access confined spaces, and stand for extended periods.
  • Ability to work in hot, cold, or inclement weather conditions.
  • Manual dexterity required for tools, repairs, equipment handling, and documentation.

Work Environment

Maintenance Supervisors work onsite and may be required to participate in an on-call rotation, respond to emergencies after hours, and work weekends or holidays as needed. The role requires regular interaction with residents, staff, corporate leadership, vendors, and contractors.
