Multifamily Residential Property
Position Overview
The Leasing Consultant is responsible for delivering exceptional customer service, driving leasing performance, and supporting the overall success of the multifamily residential community. As the first point of contact for prospective residents, this role plays a critical part in achieving occupancy goals, maintaining accurate leasing records, and promoting a positive, welcoming community environment. The Leasing Consultant manages tours, applications, lease files, and provides ongoing support to both residents and the onsite team.
Key Responsibilities
Leasing and Sales
- Conduct property tours, highlighting features, amenities, and the value of the community to prospective residents.
- Guide applicants through the leasing process, including application intake, screening, approval communication, and lease execution.
- Maintain accurate availability, pricing, unit status, and leasing notes in the property management software.
- Achieve leasing goals and support occupancy targets through effective sales techniques and timely follow-up.
- Maintain a minimum closing ratio of 30% or higher.
- Ensure all leasing documentation is complete, accurate, and compliant with Fair Housing guidelines.
Marketing and Outreach
- Assist with marketing initiatives, including online listings, outreach marketing, and resident referral programs.
- Support social media engagement and other digital marketing activities as directed by management.
- Maintain clean, inviting, and tour-ready leasing office, model apartment(s), and amenity spaces.
- Stay informed about competitor properties, market trends, and local rental conditions.
Resident Relations
- Provide exceptional customer service to both current and prospective residents.
- Respond promptly to phone calls, emails, and portal inquiries.
- Assist with renewals, resident follow-ups, and communication of community updates or events.
- Help resolve resident issues professionally, escalating to management when needed.
Administrative Support
- Maintain organized and compliant resident and prospect files, both digital and physical.
- Process move-ins and move-outs, including preparation of welcome packets, key assignments, and final file documentation.
- Assist with daily office operations such as answering phones, scheduling appointments, and updating databases.
- Enter, track, and update all prospect traffic and leasing activity accurately.
Property Operations Support
- Enter maintenance requests for residents and provide follow-up communication as needed.
- Participate in weekly curb appeal walks, unit inspections, and marketing route inspections.
- Assist with resident events, community engagement activities, and distribution of notices or communications.
Compliance and Fair Housing
- Adhere to all Fair Housing, federal, state, and local housing regulations.
- Ensure every prospect and resident interaction is conducted professionally and without discrimination.
- Follow all company policies and procedures related to leasing, documentation, and resident communication.
Professionalism in Difficult Situations
- Maintain composure and professionalism when handling objections, escalated concerns, or challenging interactions.
- Communicate clearly, respectfully, and consistently to preserve positive relationships and uphold community standards.
Risk Management
- Identify and report safety hazards, maintenance concerns, and potential risks immediately to the Community Manager.
- Assist with incident documentation following established reporting procedures.
- Support a safe environment for residents, visitors, and staff through ongoing community awareness.
Qualifications
- High school diploma or equivalent required; some college coursework preferred.
- Experience in leasing, customer service, sales, or hospitality strongly preferred. Strong communication, interpersonal, and organizational skills.
- Proficiency in property management software and Microsoft Office Suite is a plus.
- Ability to multitask in a fast-paced environment while maintaining accuracy and professionalism.
- Demonstrated commitment to exceptional customer service.
- Knowledge of Fair Housing laws or willingness to complete required training.
Physical Requirements
- Ability to walk the property, tour units, and climb stairs as needed.
- Ability to lift up to 25 pounds (files, packages, office supplies).
- Manual dexterity for operating office equipment, using computers, and handling paperwork.
- Adequate vision and hearing for conducting tours, interacting with residents, and responding to emergencies.
- Ability to work indoors and outdoors in various weather conditions.
Work Environment
This position is based onsite at the multifamily community. Leasing Consultants may be required to work weekends, evenings, or holidays to accommodate peak leasing traffic, resident needs, and community events. The role involves frequent interaction with residents, prospects, property staff, and external vendors.
