Assistant Community Manager

Multifamily Residential Property

Position Overview

The Assistant Community Manager is responsible for supporting the comprehensive management and daily operations of a multifamily residential community. This position works closely with the Community Manager to ensure exceptional resident satisfaction, operational efficiency, and achievement of property financial objectives. The Assistant Community Manager plays an essential role in leasing, resident relations, administrative oversight, and the cultivation of a positive and welcoming community atmosphere.

Key Responsibilities

Leasing and Marketing

  • Facilitate leasing activities including property tours, application processing, lease execution, and maintaining accurate leasing records.
  • Contribute to marketing strategies designed to attract prospective residents and support occupancy goals.
  • Assist in maintaining model units, office areas, and amenities to ensure a strong and appealing presentation.
  • Maintain a minimum closing ratio of 20% or higher.

Resident Relations

  • Provide exemplary customer service to current and prospective residents.
  • Respond promptly to inquiries, resolve concerns with professionalism, and promote positive interactions within the community.
  • Assist with resident communications, notices, and community updates.

Administrative Support

  • Maintain organized and compliant resident files, lease documentation, and property records.
  • Assist with rent collection, deposit preparation, and financial reporting as directed by the Community Manager.
  • Review and maintain accurate resident ledgers and approve adjustments when appropriate.
  • Process notices, renewals, move-ins, and move-outs in accordance with company policies.

Property Operations

  • Support daily property operations including maintenance request coordination, property inspections, and quality assurance.
  • Assist in ensuring the property meets all curb appeal, safety, and operational standards.
  • Monitor unit status, support make-ready processes, and assist with scheduling vendors or maintenance tasks as assigned.

Team Collaboration

  • Work in partnership with the Community Manager, Leasing Team, and Maintenance Team to streamline operations and elevate resident satisfaction.
  • Support onboarding and training of new leasing staff when needed. 
  • Act as the property lead when the Community Manager is absent. 

Compliance and Fair Housing 

  • Ensure strict adherence to company policies, procedures, and operational expectations.
  • Comply with Fair Housing laws, state/local regulations, and all legal requirements governing multifamily operations.
  • Proactively apply fair and equitable practices in all resident and prospect interactions.

Professionalism in Difficult Situations

  • Maintain composure and professionalism during challenging conversations or situations.
  • Demonstrate sound judgment and effective communication to resolve issues and maintain community standards.
  • Support escalation protocols by communicating appropriately with the Community Manager and leadership.

Risk Management

  • Identify potential risks including safety hazards, security concerns, and compliance issues.
  • Partner with the Community Manager to develop and implement risk mitigation strategies.
  • Assist with incident reporting, documentation, and adherence to all safety procedures to protect residents, staff, and property assets. 

Qualifications 

  • High school diploma or equivalent required; bachelor’s degree preferred. Experience in property management, leasing, customer service, or related fields is highly desirable.
  • Exceptional communication, interpersonal, and organizational skills.
  • Proficiency in property management software and Microsoft Office Suite.
  • Ability to manage multiple tasks, prioritize effectively, and work in a fast-paced environment.
  • Strong professional demeanor and commitment to outstanding resident service.
  • Thorough understanding of Fair Housing regulations and compliance best practices.

Physical Requirements 

  • Ability to walk the property, climb stairs, and navigate uneven surfaces.
  • Ability to lift up to 25 pounds (files, packages, office supplies).
  • Manual dexterity for computer use, office equipment, and handling documents.
  • Adequate vision and hearing for resident interaction, inspections, and responding to emergencies.
  • Ability to work both indoors and outdoors in various weather conditions.

Work Environment

The Assistant Community Manager works onsite at the multifamily property and may occasionally be required to work evenings or weekends based on operational or resident needs. The role involves frequent interaction with residents, staff, vendors, and prospective residents.
