Assistant Property Manager - Pollard Properties
Position Summary
The Assistant Property Manager plays a critical role in supporting day-to-day operations of market-rate residential communities , with a strong focus on centralized systems, resident experience, and operational efficiency. This position requires advanced experience with AppFolio operating software and the ability to manage leasing, collections, maintenance coordination, and resident communications in a fast-paced environment.
Key Responsibilities
Leasing & Marketing Support
• Manage and assist with ensuring that all inbound leads via text, email, and online platforms are followed up with in a timely manner
• Assist leasing coordinate and schedule in person tours, including self-guided tours through ShowMojo
• Assist with follow-ups for all tours, and leads via text/email and phone to convert prospects into tours and tours into applicants
• Process rental applications, including screening ( data entry conversion)
• Prepare and send electronic leases; ensure accurate and timely execution
Resident Relations & Retention Support
• Serve as a primary point of contact for residents, delivering responsive and professional service while documenting in the system and properly notifying the prospective team member to assist if required.
• Manage ongoing resident communication including follow-ups, requests, and issue resolution
• Coordinate and execute lease renewals, including outreach, negotiation, and documentation
• Maintain a high level of resident satisfaction and retention
Financial & Collections Management
• Monitor accounts receivable and manage rent collections
• Proactively follow up on delinquent accounts and enforce collection policies
• Issue notices and communicate payment expectations clearly and professionally
Execute monthly pre-close and close-out processes, ensuring all reporting is accurate and auditable in preparation for financial reviews.
Maintenance Coordination ( Only by request )
• Manage and oversee maintenance work order system within AppFolio
• Coordinate with maintenance teams to ensure timely completion of service requests
• Track and manage unit turns using turn board processes to ensure readiness and minimize vacancy
• Communicate effectively with residents regarding maintenance updates and timelines
Systems & Process Implementation
• Utilize AppFolio as the primary property management platform with advanced proficiency
• Assist in implementing and optimizing centralized operational processes
• Ensure data accuracy, reporting consistency, and workflow efficiency including properly documenting any and ALL activities
Qualifications
• 2+ years of property management experience, preferably in market-rate housing
• Advanced proficiency in AppFolio (required)
• Experience with centralized property management operations and systems
• Strong understanding of leasing, collections, and maintenance coordination
• Experience with ShowMojo or similar self-guided touring platforms preferred
• Excellent communication, organization, and time management skills
• Ability to multitask and perform in a fast-paced, high-demand environment
